Hopkins Athletics is a multidivisional department with 22 programs competing at the NCAA DIII level and two programs (men’s and women’s lacrosse) competing at the NCAA Division I level (BIG 10 Conference). The department also hosts a variety of robust recreational activities such as club sports, intramurals, and fitness programming. The Hopkins Athletics and Recreation department seeks an innovative and forward-thinking Assistant Director for Scheduling and Events. The Assistant Director, Scheduling and Events works to support the mission and integrity of the Johns Hopkins University and the Athletics and Recreation Department. Demonstrating adherence to the department philosophy, facility schedule, equipment and facility maintenance expectations, and communication responsibilities is essential. The strongest candidates will have a demonstrated ability to work in a fast-paced, team-based environment and a strong history of building and sustaining relationships with staff, students, coaches, and external stakeholders. Specific Duties and Responsibilities Manage Athletic and Recreation scheduling utilizing campus scheduling software, 25Live, including home contests, practices, student activities, clubs, and intramurals, departmental meetings, and events. Coordinate with varsity coaching staff to provide deconflicted practice schedules in shared spaces, resolving high-level scheduling conflicts. Planning for seasonal scheduling needs, adjusting and reassigning time slots and assignments as needed. Collaborate with the Associate Athletic Director, Facilities & Events, and the Director of Recreation on scheduling strategies, designing and implementing scheduling protocols and policies. Making schedule changes and overrides in special circumstances, making decisions about prioritization. Collaborate with the Assistant Athletic Director, Event Management, on event staffing, including hiring and payment in accordance with Business Office practices. Assist the Assistant Athletic Director, Event Management, in providing all game day administration, including paperwork, event checklists, and communication to all involved parties for events, including regular and postseason competition. Collaborate with the Associate Athletic Director, Facilities & Events, on postseason bidding and post-event reconciliation in conjunction with the Business Office. Serve as tournament director and event manager for regular and post-season varsity athletic contests, overseeing the set-up, execution, and break down of events. Other duties as assigned, including special projects. Ability to work nights and weekends is required. Key Relationships The Assistant Director is directly supervised by the Associate Athletic Director of Facilities and Events. This position has significant interactions with faculty and staff, students, and other outside constituencies and must demonstrate strong interpersonal skills. Minimum Qualifications Bachelor’s Degree in a related field. Three (3) years of progressively responsible administrative/operations experience required. Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula. Preferred Qualifications Sport Management Degree or related field preferred. Strong organizational skills, oral and written communication skills, and attention to detail.
